Payments, Included Costs & Cancellations

Each participant is required to make three payments:

1. $500 down payment with the online application (non-refundable once confirmed on expeditions).
2. $1000 2nd payment due February 28 or with the down payment if application is made after February 28.
3. Balance of trip cost is due April 30.

Items included in the trip cost:

1. Round trip international airfare from the trip start point (usually LAX or MIA) to the project site.
2. Food (breakfast, lunch & dinner) and lodging.
3. Transportation and excursions.
4. Project materials and training.

Items not included:

1. Round trip domestic airfare/transportation from home to start point airport (usually LAX or MIA).
2. Passport and visa charges (US Passports cost $100, Brazil visas cost as much as $220).
3. Incidental expenses, telephone, laundry & snacks (we recommend about $50).
4. Souvenirs (we ask each participant to not bring more than $100).

Cancellations and Refunds:

1. Contributions that you have solicited from others on behalf of HEFY are general unfettered contributions to HEFY and cannot be refunded regardless of your participation in a HEFY expedition (if this was not the case these contributions would not be tax deductible).
2. If you are canceled by HEFY from an expedition for failure to meet the payment or document submission deadlines all payments made directly by you or your parents will be refunded except the $500 reservation payment.
3. If a participant has a date conflict for the expedition they have selected they may be allowed to transfer to a different HEFY expedition provided that 1) Their airline ticket has not been issued (usually 90 days prior to departure). 2) Their place can be filled by another person from the waiting list. 3) There is space available in one of the other trips.
4. If unexpected circumstances should arise and prevent your participation in a HEFY expedition, payments made by you or your parents to cover your participation in a HEFY expedition will be refunded based on the date that you contact us to cancel your expedition:
   
   a. 90 days or more before the expedition departure date - All payments except $500 will be refunded.
   b. 45 to 90 days before the expedition departure date - All payments except $1200 will be refunded
   (this reflects the fact that we would have purchased your non-refundable airline ticket).
   c. Less than 45 days before the expedition departure date - No refunds will be made.
